Luna & Leaf Booking Terms & Conditions

Please read these Terms & Conditions carefully before booking a Luna & Leaf course, class or event.

By completing a booking, you confirm that you have read and agree to these Terms & Conditions, including the Cancellation & Refund Policy below.

1. Booking & Payment

Full payment is required at the time of booking to secure your place unless otherwise stated.

Your booking is confirmed once payment has been successfully received and you have received confirmation from Luna & Leaf.

Places are limited and are allocated on a first-paid, first-confirmed basis.

The price shown at the time of booking is the price payable. Any introductory, priority-booking, waitlist or promotional offer applies only where stated and cannot normally be applied retrospectively.

2. Suitability & Health Information

The age range and suitability criteria for each Luna & Leaf course, class or event will be stated on the relevant booking page.

Baby Massage courses are generally suitable for babies from approximately 6 weeks old to pre-crawling unless a different age or developmental range is stated.

Baby Spa events are suitable only for babies who meet the age and developmental criteria stated for that particular event.

Please provide accurate information when booking about any medical conditions, allergies, skin sensitivities, eczema, food intolerances, premature birth, seizures or other health or developmental concerns that may be relevant to participation.

If you are unsure whether an activity is suitable for your baby, please seek advice from an appropriate healthcare professional before attending.

Luna & Leaf sessions are provided for education, relaxation, bonding and wellbeing and are not a substitute for medical advice, diagnosis or treatment.

Participation in any activity is optional. Where Luna & Leaf reasonably believes that participation may not be safe or appropriate for a baby, the instructor may advise that the activity is paused, adapted or not undertaken.

3. Baby-Led Sessions & Parent/Carer Responsibility

Luna & Leaf sessions are baby-led.

Crying, feeding, sleeping, cuddling, changing nappies and taking breaks are completely welcome. There is no expectation for a baby to complete every activity within a session.

The parent or carer remains responsible for the direct care, supervision and handling of their baby throughout the session. This does not affect Luna & Leaf’s responsibility to provide its services with reasonable care and skill.

Parents and carers must remain with their baby and follow reasonable safety guidance given by the instructor.

If a parent or carer needs to step away from their baby at any point, they must first ensure their baby is safely removed from any activity and appropriately supervised.

4. Illness

Please do not attend if you or your baby are unwell with a potentially contagious illness, including vomiting, diarrhoea, fever or another illness that may put other families at risk.

For Baby Spa events, babies should also not participate in the water activity if they are unwell, have a contagious skin condition, are experiencing breathing difficulties or otherwise appear unwell.

If you are unsure whether you should attend, please contact Luna & Leaf before the session where possible.

We would always rather you and your baby stay home and recover than feel under pressure to attend.

5. Cancellation & Refund Policy

We understand that life with a baby can be unpredictable. If you need to cancel your place on a course, class or event, please contact Luna & Leaf as soon as possible.

14 days or more before the course or event

If you cancel 14 days or more before the course or event start date, you will receive a full refund.

7–13 days before the course or event

If you cancel between 7 and 13 days before the start date, a 50% refund will normally be provided.

If we are able to successfully fill your place, we may be able to refund an additional amount, taking into account any reasonable and unavoidable costs associated with the cancelled booking.

Less than 7 days before the course or event

If you cancel less than 7 days before the start date, no automatic refund will normally be provided because of the limited time available to fill your place.

However, if we are able to successfully fill your cancelled place, we will consider refunding the amount that can reasonably be recovered, taking into account any reasonable and unavoidable costs associated with the cancellation.

Any amount retained following a cancellation will reflect the reasonable loss caused to Luna & Leaf as a result of the cancellation.

Baby Massage courses once the course has started

Baby Massage courses are booked as a complete block rather than as individual sessions. Refunds are therefore not normally provided once the course has started or for individual sessions that you are unable to attend.

One-off classes and events

Once a one-off class or event has started, refunds will not normally be provided if you choose not to participate in part of the session or leave early.

We understand that exceptional circumstances can arise, particularly with babies and young families. Serious illness, hospitalisation, bereavement or other significant circumstances will be considered on a case-by-case basis.

Depending on the circumstances and availability, Luna & Leaf may be able to offer a transfer, credit towards a future course or event, or another reasonable solution.

Nothing in this Cancellation & Refund Policy affects your statutory consumer rights.

6. Missed Course Sessions

This section applies to multi-session courses such as Baby Massage.

If you are unable to attend an individual session, please let Luna & Leaf know as soon as possible.

No refund will normally be provided for an individual missed session.

Where available, relevant course guidance or resources may be provided to help you practise techniques covered during the session you missed.

If illness or another exceptional circumstance means you are likely to miss a significant part of the course, please contact Luna & Leaf to discuss what options may be available.

7. Transferring Your Booking

If you are unable to attend before your course, class or event begins, you may ask to transfer your place to another suitable parent/carer and baby.

Please contact Luna & Leaf before transferring a booking.

The new attendee and baby must meet any relevant age or suitability criteria and must provide the required booking, health and emergency contact information and agree to these Terms & Conditions before attending.

Transfers after a course or event has started will be considered individually.

8. Cancellation or Changes by Luna & Leaf

Occasionally Luna & Leaf may need to cancel, postpone or change a course, class or event because of circumstances such as:

instructor illness

venue problems or unavailability

severe weather

health and safety concerns

circumstances beyond our reasonable control

We will provide as much notice as reasonably possible.

For a multi-session course, if Luna & Leaf cancels an individual class, we will normally arrange a replacement session. If a replacement cannot reasonably be provided, an appropriate refund or credit for the cancelled session will be offered.

If Luna & Leaf cancels an entire course or one-off event before it begins and a suitable alternative cannot reasonably be provided, payments for that course or event will be refunded.

Reasonable changes to a venue, timetable or other arrangements may occasionally be necessary. Families will be informed as soon as reasonably possible.

9. Baby Spa Water Safety

Baby Spa sessions include activities involving babies and water. Safety guidance will be provided before babies enter the baths and must be followed throughout the water activity.

The parent or carer remains responsible for the continuous supervision and physical support of their baby while their baby is in or beside the water.

When a baby is in a bath:

the parent/carer must remain immediately beside the baby

the baby must remain under continuous supervision

appropriate physical support must be maintained at all times

the baby's face and airway must remain clear of the water

babies must never be left unattended, even momentarily

babies will not be deliberately submerged

parents/carers must follow the safe holding and positioning guidance given by the instructor

phones, photography, conversations or other distractions must not interfere with supervision of the baby

If a parent or carer needs to step away or attend to something else, the baby must first be removed from the water and made safe.

Water temperature will be checked before babies enter the baths. If water needs to be adjusted once the session has begun, the baby must first be removed from the bath before additional water is added, mixed and rechecked.

Parents and carers should tell the instructor immediately if their baby appears cold, hot, distressed, uncomfortable or otherwise unhappy in the water.

Baby Spa is baby-led. A baby does not have to enter the water or remain in the water for any particular length of time.

If the instructor reasonably believes that continuing the water activity may not be safe or appropriate for a baby, the parent/carer may be asked to remove the baby from the water or discontinue that element of the session.

10. Massage Oil & Skin Sensitivities

Massage oil may be provided during Luna & Leaf Baby Massage courses, Baby Spa events or other relevant sessions.

Parents will be given guidance about its use and may choose not to use the supplied oil.

Please tell Luna & Leaf about any known allergies, eczema, skin sensitivities or other concerns before using massage oil or another provided skincare product on your baby.

If any irritation or reaction occurs, stop using the product.

11. Photography & Video

Photography or video may occasionally take place during Luna & Leaf sessions.

Consent for photography or video for Luna & Leaf marketing purposes is entirely optional.

Separate consent will be requested where photographs or videos may be used by Luna & Leaf on its website, social media or other marketing materials.

Choosing not to consent will not affect your ability to attend or participate.

Where a professional photography opportunity forms part of a course or event, further information will be provided separately.

Parents and carers taking their own photographs or videos must respect the privacy of other families and should avoid including another child or parent without their permission.

During Baby Spa water activities, taking photographs or using a phone must never interfere with the continuous supervision and physical support of your baby.

12. Optional WhatsApp Groups

Some courses may include the option to join a private WhatsApp group for participating parents.

Joining is entirely optional and is not required in order to attend.

Please be aware that your name and telephone number may be visible to other members of the WhatsApp group.

Participants must respect the privacy of other families and must not share another person's photographs, messages or personal information outside the group without permission.

13. Refreshments & Allergies

Complimentary refreshments may be provided during some Luna & Leaf sessions.

Please inform Luna & Leaf of any relevant food allergies or intolerances and ask if you require information about ingredients or allergens before consuming refreshments.

Parents and carers remain responsible for supervising their baby around hot drinks, food and refreshments.

14. Course & Event Materials

Any handouts, videos, guides or other resources provided by Luna & Leaf are supplied for the personal use of participating families.

They must not be reproduced, sold, published or distributed to others without prior permission from Luna & Leaf.

15. Personal Information & Privacy

Information provided when booking will be used to administer your booking, communicate with you about your course or event and provide the service safely.

Health information and other sensitive information provided in connection with attendance will be handled with appropriate care and confidentiality.

Marketing communications will be handled separately from essential communications relating to your booking.

16. Behaviour & Safety

Luna & Leaf aims to provide a calm, welcoming and safe environment for all families.

Parents and carers are expected to follow reasonable safety instructions given by the instructor and to supervise their baby throughout the session.

The instructor may ask a participant to pause or stop an activity or, where reasonably necessary, leave a session if there is a genuine health, safety or safeguarding concern.

Any decision will be made reasonably and with the wellbeing of babies, parents and other participants in mind.

17. Refund Processing

Where a refund is due, Luna & Leaf will aim to process it within 10 working days.

Refunds will normally be returned to the original payment method.

Your bank or payment provider may take additional time to show the refunded amount in your account.

19. Your Consumer Rights

Nothing in these Terms & Conditions affects your statutory rights as a consumer.

Nothing in these Terms & Conditions excludes or limits any liability that cannot lawfully be excluded or limited.

20. Changes to These Terms

Luna & Leaf may update these Terms & Conditions from time to time.

The Terms & Conditions applying to your booking will normally be those provided or made available to you at the time you booked.
